Privacy Policy

SkyOwl is a research prototype developed through the University of Melbourne project Safe by Design: Building Human-Centred Digital Flight Assistants (Human Research Ethics ID 31176). This Privacy Policy explains what information we collect through the SkyOwl prototype, how we use and protect it, and the choices you have.

Scope of this phase. The current phase of the project is limited to testing the prototype — for example, working through training scenarios and giving feedback on features during co-design sessions. It does not involve the interviews, workplace observation, or surveys described in the broader research documentation. This policy covers only your use of the prototype.

01Who we are

The prototype is operated by the SkyOwl research team at the University of Melbourne. The Responsible Researcher and data controller is A/Prof Fabio Mattioli, School of Social and Political Sciences, University of Melbourne, Parkville VIC 3010, Australia. The project is funded by the University of Melbourne, the Australian Government Department of Education, and AvSoft Pty Ltd.

02Information we collect

We collect only what we need to run the prototype and conduct the research:

You are in control of the information you share with the prototype. Please avoid entering real names of individuals or organisations, or operationally sensitive information, unless it is necessary for the test.

We process your information on the basis of your consent. Participation is entirely voluntary. You may withdraw at any time without explanation or prejudice, and you can ask us to limit the use of, or delete, your unprocessed data up to two weeks after it is collected. See Account & Data Deletion.

We do not sell your personal information and we do not use it for advertising. Your information may be accessible to:

06Storage, location, and retention

Short-term interactions — while you use the prototype, your interactions are processed on cloud servers (AWS) located in the United States and Australia, under the zero-data-retention terms described above.

Long-term storage — data that we retain for the research is stored securely on University of Melbourne servers. De-identified research data is held in a secure databank in perpetuity for research and development purposes.

You can request deletion or restriction of your unprocessed data up to two weeks after it is collected. After that point, and once data has been de-identified and incorporated into the research or model training, it can no longer be individually withdrawn.

07Security

We use secure University storage and access controls, and we work only with de-identified data wherever possible. No system is perfectly secure, and we cannot guarantee the security of data while it is being processed by third-party providers.

SkyOwl is intended for aviation professionals and invited participants aged 18 or over. It is not directed at, and we do not knowingly collect information from, anyone under 18.

10Changes to this policy

We may update this policy as the project develops. We will post the revised version here with a new effective date, and where changes are significant we will notify participants by email.
